Clothing Purchase Order Checklist: Confirm Your Apparel Production Details

A clothing purchase order checklist helps your brand turn an agreed product brief into a clear order record. A message asking for black hoodies leaves important questions open: which style revision, which black reference, which sizes and what packing? Review those details with your supplier before treating the order as ready for production.

Connect the order to the quotation and tech pack

Give the order a unique reference and date. Identify the buyer, supplier and project contacts. Then link the agreed quotation and dated product specification. The order quantities, quoted scope and technical instructions should describe the same project.

A tech pack explains the garment’s design and specification. An order record identifies what you are requesting in commercial quantities. Techpacker’s purchase order guide illustrates a style broken down by color and size. Use that structure to make each order line clear, while keeping detailed construction information in the linked tech pack.

1. Identify every style and approved reference

List a style code and plain product description for each item. Record the exact tech pack revision, artwork filename and material or color reference the supplier should use. Where a physical sample has been approved, identify it by sample code and approval date.

For example, a hypothetical entry could identify style HD-01, pullover hoodie, tech pack revision 3 and front artwork revision 2. This is a document example, not a Pindon product specification or offer. Replace it with your own confirmed references and resolve any conflicting instructions.

2. Break quantities down by color and size

Create a row for each style and color, then show the quantity for every ordered size. Add row totals and a grand total, and check the arithmetic against the quotation. State whether a quantity represents individual garments, paired sets or another unit.

For a yoga set, clarify whether the top and leggings must share a size and whether separate size combinations are accepted. For a varsity jacket, distinguish changes in sleeve color, patches or lining if they create different versions. Do not hide these variations inside a single total.

3. Reconcile prices and separately charged items

Record the confirmed unit price, currency and which product version it covers. Identify separately charged sampling, decoration setup, labels, packing or other items where applicable. Mark unconfirmed items for discussion instead of entering assumed numbers.

Check that the total reflects the actual color and size breakdown. If an order changes after the quotation, ask the supplier to review the price assumptions. Our guide to comparing clothing manufacturer quotes can help you reconcile inclusions before finalizing the record.

4. Record approvals and open questions

Keep a short readiness list for fit, materials, color, decoration, labels and packaging. Identify any unresolved question, its owner and the decision needed. Agree which approvals must be complete before the supplier can proceed with the relevant stage.

Do not use a purchase order to silently replace a missing sample approval. Reference the sample approval record and document any agreed exceptions explicitly. If a change affects cost or timing, confirm the revised position in writing.

5. Define packing and delivery information

Describe the requested garment folding, individual packing, size identification and carton marking, using approved artwork or a packing brief where needed. Ask the supplier to confirm the proposed packing arrangement and any added cost. Requirements can vary between your warehouse, retailer and sales channel.

Record the confirmed delivery destination and the scope of the supplier’s delivery quotation. Separate your requested date from the supplier’s confirmed schedule, and identify what starts that schedule. Ask for clarification when sampling, sourcing and production periods are grouped into one estimate. This operational checklist does not replace a review of your commercial agreement.

6. Keep revisions traceable

When quantities, artwork or specifications change, issue a clearly identified revision and summarize what changed. Ask the supplier to confirm receipt and the effect on the order. Keep superseded documents marked so that a factory team does not follow an old file by mistake.

Before closing the handoff, check that the order total, quotation reference, tech pack revision and approval record agree. Save the supplier’s response alongside the order rather than assuming that sending the document confirms every detail.

A practical final review

  • Buyer, supplier, order number, date and revision are clear.
  • Every style links to the intended technical and artwork files.
  • Color and size quantities add up to the correct total.
  • Prices, currency and separately charged items are confirmed.
  • Approval status and unresolved questions are recorded.
  • Packing, destination and timing assumptions are understood.
  • The supplier has responded to the current version.

Prepare your next custom apparel brief

Use our boxy T-shirt concept or varsity jacket concept to start a made-to-order design discussion. These customizable concepts are not a confirmation of stock or final specifications. Share your design references, quantity breakdown and destination with Pindon for a project-specific discussion. Materials, minimums, prices and schedules remain subject to confirmation.
